14  Dropbox Connector

Use this guide for a workspace Dropbox connector. Nous indexes files in the Dropbox folders selected during setup.

14.1 What is indexed or searched live

The connector indexes Dropbox files and supported metadata from all accessible content or from selected folders. It does not index content that the Dropbox account cannot read.

14.2 Administrator role and authentication

Sophea manages the Dropbox OAuth app. A Dropbox team admin or account owner may need to approve the app for a team. The authorizing Dropbox account must have access to the folders to index.

The grant requests read access to file metadata and content, sharing read and write operations needed to discover the selected scope, and account identity. You do not create or paste a Dropbox app secret for the standard path.

14.3 Provider setup and permissions

Ask the Dropbox team admin to approve the app if the team policy requires it. Confirm that the authorizing account can open every selected folder. Keep the scope at the smallest folder set that meets the workspace need.

  1. Select Connect and approve the Sophea-managed Dropbox app.
  2. Set Dropbox indexing scope to Selected folders.
  3. Select only the folders the workspace needs, such as Shared/Policies.
  4. Set Who has access to the workspace or the required Teams.
  5. Save the connector and wait for source sync and search indexing.

14.4 Setup form fields

Field What to enter
Name A unique workspace connector name.
Dropbox indexing scope Choose all accessible Dropbox content or selected folders.
Folders Select one or more Dropbox folders when selected-folder mode is used.
Who has access Choose Everyone in the workspace or Specific Teams.

14.5 Workspace and Team access

Dropbox permissions control what the connector can read. Nous access controls who can search that indexed content. Use Specific Teams for a limited audience. Team membership is managed in Portal. A Team share cannot grant access to a Dropbox file that the connection cannot read.

14.6 Test the connection

  1. Save the connector and wait for source sync and search indexing.
  2. Check that one known file from each selected folder appears.
  3. Search for a distinctive phrase from a known file.
  4. Test as an intended workspace or Team member.

14.7 Common errors

Error Action
Dropbox admin approval is required Ask the team admin or account owner to approve the managed app.
A folder is missing Confirm that the authorizing account can open it and reconnect.
The folder picker is empty Reconnect the Dropbox grant and check the selected account.
Files are not searchable Wait for search indexing and confirm that the files are supported.

14.8 Reconnect, rotate, and remove

Use Reconnect when the Dropbox grant is revoked or the account changes. Sophea manages app credentials and token rotation. Before removal, check document sets, agents, and Team shares.
